ICON Safety Academy (“we”, “us”, “our”, “Institute”) respects your privacy. This Privacy Policy explains what personal data we collect through our website and admission process, why we collect it, how we use and protect it, and the rights you have. By using our website or submitting an application form you agree to the practices described here.

1. Who We Are

We provide courses and certification guidance in Fire & Safety, Health Safety & Environment (HSE), OSHA, IOSH, NEBOSH guidance and related industrial safety programmes, along with placement assistance.

2. What Personal Data We Collect

We collect only the information that is reasonably necessary for the purposes listed in Section 3:

• Identity & contact data: full name, father’s name, mother’s name, date of birth, gender, mobile number, alternate number, email address, full residential address, passport-size photograph.
• Government identification (optional / as required for verification): Aadhaar number. This is collected solely for identity verification and official admission records. We do not store Aadhaar for any other purpose and do not share it with third parties except as required by law or with your explicit consent for a specific verified placement process.
• Educational data: qualification (10th / 12th / graduation), marksheets / certificates uploaded or declared, course applied for.
• Fee & admission data: registration fee, course fee, amount received, balance payable, registration number and date.
• Technical data: IP address, browser type, device information and basic usage logs when you visit the website (standard web-server logs).
• Communications: messages you send us via the contact form, WhatsApp, phone or email.

We do not collect payment-card details on this website. Fee payments, if any, are handled offline or through trusted payment methods communicated separately.

3. Why We Collect and Use Your Data (Purpose)

We process your personal data only for the following legitimate purposes:

• Processing and verifying your admission / registration application.
• Communicating with you about your application status, course details, fees, class schedules and related institute matters.
• Providing the educational services, training and study materials you have enrolled for.
• Offering placement assistance and sharing your profile (with your consent) with potential recruiters or companies for job opportunities in India and overseas (including Gulf countries).
• Maintaining official student records as required for academic and administrative purposes.
• Improving our website, courses and services.
• Complying with applicable laws and responding to lawful requests from authorities.

We do not sell, rent or trade your personal data to marketing companies or unrelated third parties.

4. Legal Basis

We process personal data on the basis of: (a) your consent (given when you submit the application form or contact us); (b) performance of a contract (admission and training services); and (c) legitimate interests of the Institute in administering education and placement support, balanced against your rights. Where Aadhaar is collected it is used only for the limited purpose of identity verification consistent with applicable Indian law.

5. How Long We Keep Your Data

We retain application and student records for as long as necessary to provide the services, fulfil legal or academic record-keeping obligations, and resolve any disputes. When data is no longer required it is securely deleted or anonymised. You may request deletion of your data subject to any legal retention requirements (see Section 8).

6. Who We Share Data With

• Internal staff of ICON Safety Academy who need the information to process admissions, teaching or placement.
• Potential employers / recruiters — only when you have consented to placement assistance and only the information relevant to the opportunity (usually name, qualification, course completed, contact details and photograph). Sensitive identifiers such as Aadhaar are not shared unless specifically required and with your prior consent.
• Service providers who help us run the website or send communications (hosting, email), under confidentiality obligations.
• Authorities when required by law, court order or regulatory request.

We do not transfer your data outside India except where a placement opportunity itself requires it and you have been informed and consented.

7. How We Protect Your Data

We take reasonable technical and organisational measures to protect personal data against unauthorised access, loss, misuse or alteration. Application data is stored on secured server directories with restricted access. Photographs and documents uploaded are stored in protected folders. Despite these measures, no method of transmission or storage is 100% secure; we cannot guarantee absolute security.

8. Your Rights

Under applicable Indian law (including the Digital Personal Data Protection Act, 2023) you may have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate or incomplete data.
• Request erasure of your data (subject to legal retention needs).
• Withdraw consent where processing is based on consent (this will not affect processing already carried out).
• Raise a grievance regarding the processing of your data.

9. Children’s Data

Our courses are intended for students who have completed at least Class 10. We do not knowingly collect personal data from children under 18 without parental / guardian involvement. The application form includes space for parent/guardian signature where applicable.

10. Cookies and Website Analytics

Our website may use basic session cookies necessary for the site to function. We do not currently run third-party advertising or extensive tracking cookies. If we introduce analytics tools in the future we will update this policy and, where required, obtain consent.

11. Links to Other Websites

Our website may contain links to external sites (for example Google Maps or social media). We are not responsible for the privacy practices of those third-party sites. Please read their privacy policies separately.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top will be revised. Continued use of the website or services after changes constitutes acceptance of the updated policy. Material changes will be highlighted on the website where practical.
